What You'll Do

The practice manager is expected to play a lead role in overseeing and coordinating all operations of their assigned clinic(s). Their responsibilities include a lead role in ensuring adequate staffing at the clinic and working in close collaboration with the regional and clinical directors to achieve quality care and outcomes for clients and their families. The practice manager is essential to the hiring and onboarding of both administrative and clinical staff at the clinic. He/she is expected to ensure the cleanliness and upkeep of the physical appeal and appearance of the clinic, engender employees' morale and engagement, participate in turnover reduction initiatives; and partner with clinical director and/or regional director to attain clinic productivity goals. The efficient and productive daily operations at the clinic and its facilities management are paramount goals for the practice manager.

  • Manage the duties and functions of the clinical administrative staff. Ensures the adherence to and the fulfillment of policies and procedures at the clinic.
  • Under the leadership of the regional and clinical directors, oversee the procurement of office equipment and supplies and efficient facilities management at the clinic.
  • Support initiatives and efforts that are geared towards the attainment of the clinic's productivity and quality assurance goals.
  • Responsible for interviewing, onboarding, and training of admin staff.
  • Foster positive relationships with clients and their families, anticipating their needs and providing solutions for them. Play a pivotal role in census growth at the clinic, working closely with clinical leaders and the Growth team.
  • Work with leadership to establish leads for new providers based on referrals and waitlist numbers.
  • Manage the office within budget guidelines to include clerical, auxiliary supply purchases, equipment upgrades, and labor costs. Ensure that adequate supplies and resources are available to clinical staff for the effective fulfillment of their duties.
  • Maintain and develop inventory distribution controls in accordance with agreed business plans.
  • Work closely with the regional director, clinical director, and the human resources department to ensure employee engagement and turnover reduction. Work in tandem with clinical leaders and human resources on employee relations related matters.
  • Ensure that staffing ratios and the time and attendance needs at the clinic are met. Work in tandem with talent acquisition and clinical leaders to ensure that the vacancies and talent needs of the clinic are met expeditiously.
  • Accountable for working closely with regional leader and the Finance, Growth, RCM, HR, and all shared support services teams to achieve, measure, and monitor clinic KPIs. Play a pivotal role in the regular analysis and reporting of these KPIs.
  • Ensure that the compliance, training and development, and effective communication needs of the clinic are met. Consistently overcommunicate with admin staff on best practices, expectations, and overarching company goals.
  • Lead role in driving the company's values, mission, and goals. Expected to model the mission, vision, and values of the company and established standards.
  • Accountable for time and attendance submission for payroll. Track and monitor provider's (ST, PT, & OT for SPOT and BCBA & RBT for ABA) schedules, documentation for authorizations, and ensure credentialing is complete before scheduling new patients. Notify regional and clinical directors regarding any concerns with providers.
  • Oversight for and monitor credentialing of new providers (ST, PT, & OT for SPOT and BCBA & RBT for ABA). Informing Admin staff of new hires status with each insurance company to ensure appropriate scheduling.
  • Partner with the Billing department by following up on authorizations that are denied, ensure invoices are delivered in a timely manner, and determine refunds.
  • Effectively manage patient scheduling, staff productivity, collections, and receivables. Notify the regional director of miscellaneous operations expenses, decreased productivity and concerns with collections.
  • Maintain center and equipment cleanliness and safety, as well as report any hazards to leadership. Ensure safety standards and policies are being met.
  • Fulfill all other relevant duties and responsibilities as assigned.
What You'll Need
  • Bachelor's degree or an Associate's Degree with ten years of relevant experience..
